Proctor Instructions for Zoom Webinar

Login to Zoom (Staff only)

  1. https://us02web.zoom.us/webinar/list#/upcoming
  2. Click Sign in (upper right). Use [email protected] for the email & use admin password. Click Sign in.
  3. (If you must fill in the form in settings, do not use your own name. Use: First name = Discover; Last name = Healing)
  4. Click Webinars (left side).
  5. Click Upcoming (horizontal menu).
  6. Select "Myself" on dropdown menu (Myself = Discover Healing).
  7. Click on title of Webinar.

Register 1 Person for the Webinar Manually

  1. Confirm the person is eligible to attend the webinar/call (PEP member, etc.)
  2. In Zoom backend, find the event and copy/paste Registration link in a URL.
  3. Fill in the person's name and email address.
  4. Click Register.
  5. If requested, follow additional instructions to indicate you are human.
  6. An email will go to the person with their join link.

Resend Confirmation Email to 1 Registrant

If a registrant has lost his/her join link, you can resend the email with the join link to that specific person.

  1. In Zoom backend, click on the title of the webinar.
  2. Scroll down to Manage Attendees.
  3. Click Edit to the far right side.
  4. Use the Search box to locate the person's registration.
  5. Click the box to the left of the person's name.
  6. Click Resend Confirmation Email at the bottom.
  7. An email will go to the person with their join link.

Registrant Emails

Emails for registrants are prescheduled under Email Settings ahead of time. The only email that can be resent manually is the confirmation email with the join link. (Instructions here are only to preschedule emails.)

  1. In Zoom backend on the event, scroll down to the bottom and click on Email Settings.
  2. Find the email you want to schedule and click on Edit to the right side of it.
  3. Click on the box in the pop up field to affirm when/ if to send the email.
  4. Customize the message using the text field if desired.
  5. Click Save.
  6. The email can be previewed by clicking on the link Send me a preview email.

Presenter Toolkit

These are available for presenters to download: Fillable Volunteer Session Forms, Emotion Code Chart, Flowcharts, Definitions of Emotions, Handouts, etc.

Pre-Webinar Checklist

Beforehand with Presenter:

  1. Test Screenflow recording (Media Editor)  
  2. Presenter share screen
  3. Check Keynote presentation (confirm all edits were done, no typos)
  4. Check Order form or Offer page (countdown, promo code works, etc)
  5. Check upcoming Events/ Announcements
  6. Check audio (Presenters using headphones & mic)
  7. Check cameras
  8. Check appearance
  9. Stop Screenflow - Watch recording - Check video & audio (Media Editor)
  10. Start Screenflow again
  11. Check battery on computer - Plug in
  12. Check battery on phone - Plug in
  13. Mute cell phone
  14. Send Cliq message - One Proctor to/from Presenter
  15. Turn off landline ringer, alarms, etc
  16. Turn off Apps not using
  17. Turn off Notifications
  18. Hide Favorites Bar
  19. Hide Dock
  20. Presentation in Play Mode - check automation slides if any
  21. BC App open and logged in
  22. Digital Chart of Emotions
  23. Magnet Chart of Emotions
  24. Volunteer Session worksheet or Text edit (big enough font to read easily)
  25. Arrange items for Volunteer Session - Flowchart, Text Edit, EC Chart/BC App
  26. Set up & Test Poll questions
  27. Confirm Presenter is Host, and others are Co-Hosts
  28. Bathroom
  29. Kleenex
  30. Water with plastic straw
  31. All cursers off screen - presenter & anyone recording
  32. Doors closed
  33. Confirm Screenflow is recording (Media Editor)

Time to Start

  1. Confirm Screenflow is recording
  2. Presenter turn on Webcam
  3. Unmute Presenter Mic
  4. Presenter Share Screen with Keynote in Play Mode
  5. Confirm Presenter is Host; Proctors are Co-Hosts (change/promote from Panelist if necessary)
  6. Presenter will click Start Button when ready
  7. Mute all Proctors
  8. Admit Attendees from Waiting room (throughout event)

Chat Box Messages

During the Zoom webinar, you will want to send messages to the whole group or to an individual person.

Use individual threads to answer individual questions.

Use Chat for messages to everyone, such as these:

Share Files (Handouts)

Ideally, handouts will be emailed to registrants ahead of time. If necessary, they can be distributed during the webinar.

  1. Download the file to your own computer.
  2. In Zoom Chat during the seminar, attach the file you downloaded in a message to “Everyone.”
  3. Attendees can download the file and open it on their own computers.

Volunteer Sessions

  2. Create support ticket. Paste imbalances found and released into the ticket with a message.
  3. Send to volunteer.

After Webinar

  1. Note how many attendees were there.
  2. Send all recordings to Media Editor (if you made one).
  3. Create report to capture questions & comments from chat thread.
  4. Create registration/participants report.
  5. Add reports to Zoho Post Event Notes.
