Process for Our Events - Virtual Call or Webinar
All non-ticketed Calls/Webinars that Discover Healing hosts online will follow this procedure.
A date is selected to host an online virtual webinar, such as the Practitioner Education Program Call/Webinar.
Events Coordinator:
Select date, time, type of Call/Webinar, presenter, proctors.
Get details about the Call/Webinar (title, bullet points, presenter, etc), and share this information with Webinar Coordinator.
Webinar Coordinator:
Create Zoom Webinar. Add Co-Hosts (presenter, proctors, Media Editor, panelists), auto-emails, auto-record in the cloud, etc.
Webinar Coordinator:
Add the Call/Webinar to the Discover Healing calendar with title, bullet points, date, time in Mountain Time zone, presenter. Write short excerpt. Use an featured image (sized 900 x 506 px) with most of the interest at the top (to accommodate the title which will cover up the bottom half when it is posted).
Test the registration link.
Webinar Coordinator:
Create a Zoho Connect task card and add it to the Media Projects board under the Upcoming Projects column. Add instructions and excerpt. Fill in other information later as it is available. Assign to Media Editor.

Marketing Team:
Advertise the Call/Webinar in the newsletter, emails, banners, etc.
QC Manager:
When the keynote presentation for the Call/Webinar is provided by the presenter (or creator), check it for errors, typos, etc. Make edits and save the corrected version. OR Keep notes on suggested changes and give the list to presenter (or creator) to make the edits.
Event Coordinator:
As time draws closer to the Call/ Webinar date, check registration number to determine how many proctors are needed.
Assign proctors and inform Webinar Coordinator of their names.
Webinar Coordinator:
Add proctor names to Zoom webinar as Co-Hosts (or Panelists). Send an email invitation with join link to each of them.
Create a proctor doc with instructions and share it with proctors (as editors).
Hold a practice Zoom webinar to train new proctors.

Webinar Coordinator:
Go into Zoom and run reports for registration number, attendee number, Q&A, Surveys, and Polls.
Send reports to Presenter and Event Coordinator as attachments to an email.
Media Editor:
Record the Call/Webinar during the event.
A back-up recording will also be made by Zoom and stored in the cloud.
Media Editor:
Immediately following the Call/Webinar, add bookends (logo branding and music).
Post the raw version of the replay on discoverhealing.com/videos/, including the excerpt from the Zoho Connect task card.
Edit the recording to its best version and inform the QC Manager.
QC Manager:
Review the best version of the replay. If additional edits are necessary, inform the Media Editor.
Translation Manager:
If a Call/Webinar will be subtitled in English and additional languages, create subtitles and upload them in Wistia.
Assign Translators to review the subtitles and make needed corrections.
