Process for Our Events - Virtual Seminar
All ticketed seminars that Discover Healing hosts online will follow this procedure.
A decision is made to host an online virtual seminar.
Events Coordinator:
Select date, time, type of seminar, ticket price, presenter, sales offer, proctors.
Events Coordinator:
Go to Zoho CRM > Events/Seminars. Click on Create Event (blue button).
Fill in appropriate fields, including event details.
Share this information with Webinar Coordinator.
Webinar Coordinator:
Create Zoom Webinar. Add presenter, proctors (if known), auto-emails, auto-record in the cloud, etc.
Share registration link with Copywriter (who will use it to create a ticket and calendar post).
Copywriter:
Create a ticket to purchase and a registration link that will go on the calendar.
Share the Discover Healing registration link with Events Coordinator.
Events Coordinator:
Place registration link Zoho CRM > Events/Seminars in Registration field.
At top click on Confirmed button.
Automation sends notification to Copywriter.
Copywriter:
In WordPress, create a Seminar Event and publish it to the Discover Healing calendar.
Events Coordinator:
Share information with Marketing Department to advertise the seminar.
Marketing Manager:
Advertise the seminar as instructed in the newsletter, emails, banners, etc.
Event Coordinator:
Create a promo code for 10% off of certification, good until midnight day of event.
Events Coordinator:
Go to Zoho CRM > Events/Seminars and update the event with additional items, including new promo code.
Events Coordinator:
As time draws closer to the seminar event date, determine how many proctors are needed, depending on registration number.
Assign proctors and inform Webinar Coordinator of their names.
Webinar Coordinator:
Add proctor names to Zoom webinar as Co-hosts or Panelists. Send an invitation to each of them.
Create a proctor doc with instructions, promo code, etc.
Share the proctor doc with proctors (as Editors).
If needed, hold a practice Zoom webinar to train proctors.
Webinar Coordinator:
Go into Zoom and run reports for registration number, attendee number, Q&A, Surveys, and Polls.
Send reports to Presenter and Event Coordinator as attachments to an email.
Events Coordinator:
Go to Zoho CRM > Seminar Event to update the fields with registration number, attendee number, and certification sales.
Arrange for commissions to be paid (if applicable).
