Process to Vet Show / Event Requests/ JV (copied)
This article describes in detail the process to review and vet Their Events show requests and where the information is found in Zoho.

A request to do an interview, live event, online workshop, seminar, or presentation with Dr. Brad is created when someone fills out this request form:

Information funnels into Zoho > CRM > Appearance Requests.

All requests are reviewed and vetted by Dr. Brad's Executive Assistant. Details of the new request will appear when you click on the item. Scroll down to see everything.

Use email to reach the contact person to clarify or gather more information if needed.
A record of correspondence will be kept here to refer to later.

During the vetting process, do not only use a standard form, but engage in negotiating conversations, particularly for seminars.
Use this criteria in vetting:
Search their main website and any sub websites, looking for this criteria:
Ask specific questions to define what they want, including marketing demands and splits
Confirm their Contact List number for a minimum of 30,000
Confirm they have done a seminar/summit event before (confirm number of past attendees
Ask for previous speaker names at prior seminar/summit
Ask if other speakers will be presenting at the same event too
Ensure that their purpose or mission is aligned with Discover Healing, and will protect Dr. Brad’s reputation and name, etc.
After reviewing the vetting criteria, the Executive Assistant will determine if the request should be considered as an opportunity.
If so, approve the request.

After the Executive Assistant approves the request, that show opportunity is added to the Executive Meeting notes to be presented and discussed in the weekly Executive Team meeting, every Tuesday at 9:15 am Mountain time. A decision is made on doing the event or not.
All requests first funnel into Appearance/Requests. Those that are actually Seminars must be moved over to the Events/Seminars category. To move one, click on the Convert to Event button in upper right.

Then the request will be moved into the Events/Seminars category.

The Marketing Department should be informed about the new event or seminar with all of the appropriate details. Review the agreement to ensure we meet our obligations (send emails, add to newsletter, etc).
There is usually not a contract with the event host. If there is one, it will likely be a speaker contract only and should be reviewed personally by Dr. Brad who will sign it if it is acceptable. Any contract should be attached to the item in Zoho.

Keep track of links you are waiting for in Zoho under Waiting for Release Date column.

Once you have a link, move the item to Post-PRPage-DH Page-Social Media column.

In Zoho Connect, add a Task Card to the Social Media Task Board in To Do column.

When a link is provided by the host of the event, click on the item to open it up.
Add the link in the correct field.
After the event is over, determine if we want to repeat it by filling out Do This Again field. If the event had 5000 views or more it would be worth it.
Add in the Reason to do or not do this again.
